1. Bookings
Allocation (bookings) cannot be guaranteed for tours unless reserved or booked in advance. Flybus always has seats available, but we recommend booking in advance. Flybus+ services can be booked up to 2 hours before departure time.
2. Flybus/Flybus+
Scheduled Flybus departures operate from the BSÍ Bus Terminal. Flybus+ service is available from selected hotels, guesthouses, and tour bus stops located in central Reykjavík.
ICELANDIA acknowledges that travel bags are designed to protect their contents. Considering normal handling, baggage may show evidence of wear and tear. ICELANDIA does not take responsibility for minor cuts, scratches, and dents or for any damage that may occur to items that protrude from travel bags, such as retractable handles, wheels, straps, and luggage carts.
Animals are not permitted on Flybus or bus transfer services. Certified service animals are an exception, but proof of certification may be required. Passengers with animals will be denied entry, and if an animal is found on board, the passenger will be asked to disembark at the next stop.
3. Pick-up and drop-off service for ICELANDIA day tours from Reykjavík
ICELANDIA offers both meet-on-location tours and tours with pick-up services from Reykjavík. Pick-up locations may differ between tour reservations; it is the customers' responsibility to review and verify pick-up information and meeting times.
Customers are responsible for their own pick-up and must be at their respective hotel/guesthouse/tour bus stop on time. ICELANDIA reserves the right to change the meeting point of the tour. Missing the pick-up does not entitle you to a refund of the paid services.
Meet-on-location booked customers are responsible for making their own way to the location and arriving in time for their booked tour. Meeting information is provided on vouchers/booking confirmations, and it is the customers' responsibility to review and verify. If customers do not arrive at the correct meeting point at the correct time, resulting in a missed tour, this does not entitle a refund for the paid services.
4. Return times
Please note that indicated return times refer to guided tours only; drop-offs and pick-ups are not included. Additionally, return times can vary due to road and weather conditions.
5. Re-boarding after stops and rest breaks
When the customer leaves the tour bus at sightseeing stops and rest breaks while on a day tour with ICELANDIA, the tour guide will announce the duration of the stop and the scheduled departure time. It is the customer’s responsibility to re-board the bus at the scheduled departure time.
If a customer is missing or late for the scheduled departure time, the tour bus will not wait as we will have to keep to the tour schedule. ICELANDIA will not refund the tour or cover any costs incurred due to failure to re-board the tour bus on time. In the event of a failure to re-board the bus on time, the customer will have to make alternative transport arrangements at their own expense.
6. Personal Travel Insurance
Safety is our #1 priority. While our highly trained and experienced guides do their absolute best to ensure that everyone on tour with us has a safe and fun experience, there is still a very low possibility that an accident can occur that may require medical attention. Therefore, we advise that all our clients have insurance that includes rescue.
7. Inclusions
Unless otherwise stated in the tour description, all entrance or admission fees to tourist sites, museums, and exhibitions are included.
8. Exclusions
Unless specifically listed, meals and refreshments are not included. During full-day excursions, a lunch stop is provided at a local restaurant or eatery.
9. Prices
Tours and services are subject to currency fluctuation and conditions of cooperative contractors that may provide transportation and other services.
All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland. In the event of currency fluctuation, government taxes, or due to any other cost increases that are outside our control, ICELANDIA reserves the right to change prices already quoted or published in our price lists with one month's notice.
No rate changes will be made with less than 8 weeks’ notice before the departure date.
After the invoicing has been issued, prices are guaranteed against any surcharge, unless an increase is due to government laws or currency changes. ICELANDIA will absorb an amount equivalent to 5% of the package price. Amounts that exceed 5% will be charged and clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%.
10. Languages
All tour guidance is in English. Selected tours are also guided in German, Scandinavian, and Spanish, which is noted in the tour description.
11. Clothing
When travelling in Iceland during any season, wear sturdy shoes and warm outdoor wear. Nature is the main attraction on many of the excursions, and a short outdoor walk may be included to fully enjoy the tour. Specialist clothing for outdoor activities may be included or available to rent for a small fee; please refer to the tour description for information.
12.Animals
For the comfort and safety of all our passengers, animals are not permitted on Flybus or bus transfer services. Certified service animals are an exception, though proof of certification may be required. Passengers with animals will be denied entry, and if an animal is found on board, the passenger will be asked to disembark at the next stop.
13. Transport of Musical Instruments and Valuable Items
Customers may carry small musical instruments and other valuable items under their seat, subject to their own responsibility. For larger instruments or items that require more space, customers have the option to contact Reykjavik Excursions Customer Service to book an additional seat, provided that the item can be safely secured with a seatbelt. Reykjavik Excursions assumes no liability for the condition or security of these items, and they remain under the customer’s responsibility at all times.
14. Lost and found
ICELANDIA holds no liability for any items that are lost or damaged during our tours. It is the customers’ responsibility to take care of their belongings and ensure their security. Found items should be reported immediately to the bus driver or an ICELANDIA representative.
ICELANDIA will make reasonable efforts to return lost items to their respective owners. Nonetheless, ICELANDIA cannot be held accountable for items that are lost or stolen. It is recommended that valuable items are never left unattended. Customers should remain vigilant and report any suspicious activity.
15. Food & beverages on buses/vehicles
Please restrict food consumption to "snack-type foods" such as candy, chips, cookies, etc. When on board our vehicles. Beverages in closeable or covered containers are permitted on board.
16. Liability
ICELANDIA reserve the right to alter routes, itineraries, or timetables without prior notice, should the necessity arise. All programs can be changed or cancelled at any moment during the trip to assure the safety of the clients and staff. No liability is accepted for losses or expenses due to delays or changes of arrival or departure of flights or other services, injury, sickness, accident, strikes, damage, negligence, weather, war, or other causes outside the control of ICELANDIA. All such losses and expenses are the personal liability of the customer.
17. Discount for children
ICELANDIA offer reduced rate fares for children older than 1-year-old and accompanied by adults. Minimum age can vary between tours. The number of children traveling with an adult can vary between tours, but an adult can never accompany more than three children. Please refer to tour descriptions for information.
18. Usage of data collected
ICELANDIA can use data such as emails to communicate with customers to provide the best experience.
19. Cancellation policy
19.1 Individual bookings
Reservations can be cancelled 24 hours prior to departure without penalty, unless stated otherwise. All cancellations need to be in written form. Cancellations received less than 24 hours prior to departure will be charged full price. The Flybus/Flybus return tickets are combo tickets that include a discount and are, therefore, nonrefundable once they have been partially used.
- Cancellation policies from 3rd party operators may vary. Please refer to the tour descriptions for information.
- Group bookings – Day Tours from Reykjavík / Capital Region Group reservations can be cancelled without penalty with ICELANDIA; however, it is noted that notice periods vary depending on group size.
- Group sizes up to 25 guests can be cancelled without fee up to 3 days (72 hours) before departure.
- Group sizes of 26-50 guests can be cancelled without fee up to 4 days (96 hours) before departure.
- Group sizes of 51-100 guests can be cancelled without fee up to 28 days (about 4 weeks) before departure.
19.2 Group bookings – Meet on Location Activities
Group and private reservations can be cancelled without penalty with ICELANDIA; however, it is noted that the notice period is 8 days prior to departure. Cancellations less than 8 days will incur a cancellation fee.
19.3 ICELANDIA operated multi-day tour and courses
Multi-day tours and courses operated by ICELANDIA cancellations need to be provided in written form. If the customer formally cancels their participation, the following cancellation fees apply:
- 15% of the tour price is non-refundable.
- 50% of the tour price is charged if cancelled 30-59 days prior to departure.
- 75% of the tour price is charged if cancelled 16-29 days prior to departure.
- 100% of the tour price is charged if formally cancelled less than 16 days prior to departure.
19.4 Other
All complaints must reach ICELANDIA within 5 days of the tour end date/time, otherwise the possibility of compensation entitlement is not valid.
20. Expeditions
20.1 Confirmation fee
A confirmation fee is required for all expeditions and is non-refundable. The confirmation fee, often around 15-20% of the total tour price, and by what time it must be paid, varies between tours, and will be specified in the expedition proposal. These details would be available on the ICELANDIA web site and/or in email communications between ICELANDIA and the client during the booking process.
20.2 Cancellation
All cancellations must be communicated via e-mail.
20.3 Cancellation policy
15-20% of the tour price is non-refundable, depending on arrangement.
50% of the tour price is charged if cancelled 30-59 days prior to departure.
75% of the tour price is charged if cancelled 16-29 days prior to departure.
100% of the tour price is charged if cancelled 16 days prior to departure.
21. Offers and Promotions
20.1 Validity and Applicability
Offers, discounts, and promotions provided by ICELANDIA are valid only for the designated travel periods and under the conditions stated at the time of booking. Offers may not be applied retroactively to prior bookings or combined with any other offers unless explicitly specified.
20.2 Designated Travel Period
Offers are only valid for travel within the specified period. If a tour is rescheduled to a date outside the designated period, any fare difference between the original price and the new fare must be paid by the customer. Rescheduling is subject to availability and ICELANDIA’s standard rescheduling policies.
20.3 Restrictions and Limitations
Certain offers may be subject to restrictions, including but not limited to, blackout dates, limited availability, or exclusions on specific tours or services. It is the customer’s responsibility to review the specific terms of each offer.
20.4 Modifications and Cancellations
ICELANDIA reserves the right to amend or withdraw any offer at any time, without prior notice, particularly in cases of error or unforeseen circumstances affecting the availability or scheduling of services.
